Job Summary

We are seeking a detail-oriented and customer-focused Sales Administrator to join our sales team. The successful candidate will play a vital role in supporting our sales operations, managing customer relationships, and ensuring efficient order processing and customer service delivery.


This position requires someone who can handle multiple tasks simultaneously while maintaining high standards of accuracy and professionalism.


Key Responsibilities and Duties

Sales Order Processing

  • Process customer orders accurately from initial enquiry through to dispatch
  • Verify order details, specifications, and pricing before processing
  • Input orders into company systems and maintain accurate records
  • Monitor order progress and coordinate with relevant departments
  • Handle order modifications, cancellations, and special requirements
  • Prepare dispatch documentation and coordinate with logistics

Customer Communication Management

  • Communicate professionally with customers via email and telephone
  • Respond to customer queries regarding orders, delivery schedules, and technical specifications
  • Maintain regular contact with key customers and provide order status updates
  • Resolve customer concerns and escalate complex issues appropriately
  • Build and maintain positive customer relationships

Production Scheduling Coordination

  • Schedule customer orders with production department based on delivery requirements
  • Coordinate with production planning team to ensure realistic delivery dates
  • Monitor production capacity and advise customers of any scheduling changes
  • Manage urgent orders and expedite requests where possible

Customer Pricing Management

  • Apply appropriate pricing structures based on customer agreements
  • Monitor pricing accuracy and update systems as required
  • Coordinate with sales management on pricing decisions and customer negotiations

Other Sales-Related Office Duties

  • Maintain accurate customer databases and contact information
  • Support sales team with administrative tasks and documentation
  • Assist with credit control and payment follow-up activities
  • Handle general office duties including mail, telephone, and reception cover
  • Ensure high standards of customer service across all interactions


Essential Requirements

Qualifications & Experience

  • Minimum 5 years experience in sales administration or customer service role
  • Experience in manufacturing or technical products environment preferred
  • Strong administrative and organizational skills
  • Proven track record of accurate order processing and customer management

Skills & Competencies

  • Excellent written and verbal communication skills
  • Professional telephone manner and customer service approach
  • Strong attention to detail and accuracy
  • Good level of computer literacy
  • Experience with CRM systems and order management systems
  • Ability to work under pressure and manage multiple priorities
  • Problem-solving skills and proactive approach

We frequently require production operatives at our factory in Portchester, Hampshire.


Preferred experience;

  • Previous assembly/manufacturing experience is preferred though training can be provided to individuals who are enthusiastic and keen to learn.

  • Work involves assembly of potentially life saving components so quality and attention to detail are essential for this role.

  • You will be working in a fast paced manufacturing environment, assembling small parts to high standards and targets, as part of a growing team.

  • Experience of work in testing or warehouse would be beneficial.

 
Hours:
 Monday – Friday 9am – 5pm 

Location: Portchester, Hampshire
